The BC Ministry of Education has recently announced EDX phase 3 starting in early 2026.

We have reviewed the new specifications and have made appropriate changes in WebTess to be compliant with the new requirements.

The DEM, CRS and XAM file formats remain unchanged.

We have made some improvements in the data transfer process to improve data validation:

The data transfer will only include students from Grades 10, 11, 12, AD, AS, HS and SU. The Ministry has indicated that even if students in earlier grades are taking Grade 10 level (or higher) courses, they should not be included in the data transfer.

The XAM file contains the data required to register students for BC assessment courses such as LTE10, NME10 and LTE12 (as well as the equivalent French language courses). It will not include previously assigned marks for these courses, but you will be able to import the assessment marks from the Ministry.

An option has been added to exclude historical data (any data from previous school years) will no longer be included in the data transfer. This means only courses from the current year will be included in the data transfer.

The DEM, CRS and XAM are all in plain-text format, which means you can open them using Notepad (or another text editor) if you wish to check the data in the files before uploading them to the Ministry web-site. Do not use Excel to open or change the files since this will change the formatting.

5 Key Benefits of This Student Information System

In today’s fast-paced educational landscape, administrators, teachers, and parents need tools that save time, reduce errors, and keep everyone on the same page. Enter WebTESS – the modern, cloud-based Student Information System (SIS) designed specifically for K–12 schools in Canada (and beyond). If your school is still juggling spreadsheets, paper records, or an outdated system, here are five reasons why switching to WebTESS can transform the way you work.

1. Real-Time Access Anytime, Anywhere

WebTESS lives entirely in the cloud. Whether you’re a principal checking attendance from home, a teacher entering marks on a planning day, or a parent viewing report cards on their phone, everything updates instantly. No more “syncing” delays or version-control nightmares.

2. Seamless Compliance with Provincial Reporting (Especially in British Columbia)

For BC schools, WebTESS is built from the ground up to meet BC 1701, 1704 and TRAX requirements. Generate 1701 files, PEN requests, TRAX files, TVR reports, Assessment registration and ministry reports with just a few clicks. Schools routinely cut reporting time from days to hours during submission periods.

3. Intuitive Gradebook & Mark Management

Teachers love the clean, flexible gradebook that supports both traditional percentage grading and course objective assessments. (learning skills, late/missed assignment tracking, etc.). Automatic calculation of final marks, instant parent/student portal updates, and detailed comment banks make report-card season far less stressful.

4. Powerful Yet Simple Parent & Student Portal

Parents and students get their own secure login to see:

Live attendance

Up-to-date marks and assignments

Report cards the moment they’re published

School announcements and calendars

Schools using WebTESS consistently report fewer “Where’s my child’s mark?” phone calls and emails.

5. Exceptional Support & Constant Evolution

WebTESS is developed and supported right here in Canada. Feature requests from schools are regularly added – recent examples include enhanced IEP tracking, integrated Graduation requirements checker improved language support.

The Bottom Line

Switching to a new student information system feels daunting, but schools that make the move to WebTESS almost universally say, “We should have done this years ago.” Less paperwork, fewer errors, happier teachers, and more informed parents – that’s the WebTESS difference.

Ready to see it in action? Most schools can have WebTESS fully implemented and staff trained well before the next report-card period.

How WebTess Ensures Student Data Security and Privacy

In an era where classrooms are increasingly digital, student data—ranging from grades and attendance records to personal health information and family contacts—has become a treasure trove for cybercriminals. According to recent reports, over 50% of educational institutions have faced data security incidents, leading to risks like identity theft, fraud, and even extortion. But what if there was a platform designed specifically to turn these vulnerabilities into strengths? Enter WebTess, the innovative student information system (SIS) that’s redefining data protection in K-12 education.

At WebTess, we don’t just store data; we fortify it. Built with privacy by design, our platform combines cutting-edge technology with unwavering compliance to keep student information secure, private, and accessible only to those who need it. In this post, we’ll dive into how WebTess achieves this, empowering educators, administrators, and parents to focus on what matters most: student success.

The Stakes: Why Student Data Privacy Can’t Be an Afterthought

Before we explore WebTess’s safeguards, it’s worth understanding the “why.” The Family Educational Rights and Privacy Act (FERPA) in the U.S.—and similar regulations like GDPR in Europe—mandates that schools protect personally identifiable information (PII). Yet, compliance is just the baseline. A breach isn’t just a legal headache; it erodes trust. Imagine a school shutdown for weeks, families suing over exposed records, or hackers selling student profiles on the dark web for phishing scams.

WebTess was created to prevent these nightmares. As a cloud-based SIS, we handle sensitive data daily, but our multi-layered approach ensures it’s never a weak link in your school’s ecosystem.

Layer 1: Your student data belongs to you.

WebTess starts with the foundation of trust: we do not collect student data or user data. We do not track you on our web-site. We do not share any of your data with anyone. We do not aggregate or “anonymize” data. It’s your information and none of our business.

This isn’t boilerplate policy—it’s baked into our architecture.

Layer 2: Advanced Encryption and Secure Storage

Data at rest or in transit? On WebTess, it’s locked down tighter than a principal’s office. We use encryption for all stored information, making it unreadable to unauthorized eyes. Whether it’s a student’s emergency contact or a behavioral observation, your data is secure.

Transmission is equally secure: HTTPS with TLS 1.3 ensures no interception during uploads or downloads.

Layer 3: Role-Based Access Controls—Know Who Sees What

One size fits all? Not in security. WebTess employs granular role-based access controls (RBAC) to ensure users only see what’s relevant. A teacher views class rosters and grades for their students alone. An administrator? District-wide insights, but never individual health notes unless explicitly permitted. Superintendents can even customize permissions for PEIMS-like data validation, preventing overreach.

Layer 4: Empowering Schools with Tools and Transparency

WebTess isn’t just protective; it’s empowering. Parents get transparent portals to view (but not edit) their child’s data, with opt-out options for non-essential tracking.

For schools, this means building trust. Share our privacy policy with families confidently—it outlines data collection, usage, and deletion in plain language. And with automated anonymization for analytics, you can derive insights (like attendance trends) without exposing identities.

The WebTess Promise: Privacy as a Pillar of Progress

In a world where edtech is essential, WebTess proves that innovation and security can coexist. By prioritizing encryption, compliance, access controls, threat detection, and transparency, we keep student data not just safe, but sacred. Schools using WebTess report fewer compliance worries and higher parental satisfaction—because when data is secure, learning thrives.

How WebTESS’s Graduation Requirements Checker Simplifies Progress Tracking

In the high-stakes world of secondary education, ensuring students meet graduation requirements can feel like navigating a labyrinth of credits, courses, and compliance rules. Counselors, teachers, and administrators often spend countless hours manually auditing transcripts, cross-referencing state standards, and chasing down missing prerequisites. But what if there was a tool that automated this process, providing real-time insights into every student’s path to the diploma? That’s where WebTESS, the versatile web-based Student Information System (SIS) from Harts Systems Ltd., steps in with its powerful Graduation Requirements Checker.

This feature isn’t just a checklist—it’s a proactive engine for student success, integrating seamlessly with WebTESS’s core modules to track progress, flag gaps, and generate actionable reports. By leveraging up-to-the-minute data from grades, attendance, and enrollment, the Graduation Requirements Checker empowers educators to intervene early, personalize guidance, and boost on-time graduation rates. Let’s explore how it transforms a daunting task into a streamlined, insightful process.

Real-Time Audits: Instant Visibility into Student Progress

At the heart of WebTESS’s Graduation Requirements Checker is its ability to deliver automated, comprehensive degree audits for every student. No more sifting through spreadsheets or paper files—educators access a dynamic dashboard that evaluates completed coursework against predefined graduation criteria, such as core subject credits, electives, standardized testing, and even extracurricular mandates.

Core Functionalities That Make It Effortless:

Automated Compliance Checks: Define your school’s unique requirements (e.g., 24 credits including 4 years of English, math proficiency, or community service hours) once, and the system applies them universally. As grades post and courses complete, the checker updates audits in real-time, highlighting met requirements with green checks and pending ones with clear alerts.

Progress Dashboards for All Users: Teachers view class-level overviews to spot at-risk students mid-semester. Counselors drill into individual profiles for detailed breakdowns, including transfer credit equivalencies and projected timelines. Even students and parents log in via the secure portal to track their own journeys, fostering ownership and reducing surprises.

Imagine a counselor pulling up a senior’s audit in seconds during a college advising session, confidently outlining exactly what’s needed to graduate by June. WebTESS makes this the norm, not the exception.

You can check any students Graduation status with just one click:
Under Grades, Enter transcripts by student — bring up any student and click the Check Requirements button at the bottom of the screen to get a full report:

Seamless Integration: Connecting the Dots Across Your SIS

What truly sets WebTESS’s Graduation Requirements Checker apart is its deep integration with the broader ecosystem. As a modular SIS, it pulls data effortlessly from attendance records, gradebooks (like MyMarks), enrollment, and even IEPs, ensuring a holistic view of student performance.

Benefits of This Connected Approach:

From Enrollment to Diploma: Track the full student lifecycle—from admissions through course registration and assessments to final certification. Transfer credits are evaluated on-the-fly, and changes in schedules or grades ripple through audits automatically, eliminating manual reconciliation. campuscafesoftware.com

Reporting and Compliance Made Simple: Generate state-mandated reports, transcripts, and progress summaries with one click. Whether interfacing with provincial or international standards, the checker ensures accuracy, helping schools meet diverse regulatory demands without added hassle. harts.ca

Data-Driven Interventions: Built-in analytics identify trends, like common bottlenecks in math credits, allowing administrators to refine curricula or offer targeted interventions. Parents receive tailored updates, strengthening home-school partnerships.

In hybrid or international settings, where requirements vary widely, this integration shines—think offshore schools using WebTESS to align BC curriculum outcomes with local equivalencies, all while maintaining audit integrity.

Why WebTESS Leads the Way in Graduation Tracking

In a market flooded with SIS options, WebTESS stands out for its emphasis on simplicity, speed, and scalability. Accessible from any device—laptop, tablet, or phone—without downloads or IT overhauls, it’s designed for real-world educators. Its suite of over 30 modules means you can start with graduation tracking and expand to scheduling, parent communications, or discipline management as needs evolve.

By reducing administrative burdens, it frees counselors to focus on mentorship and students to focus on learning.

A Guide to Customizing with WebTESS report cards

In today’s digital-first educational landscape, student report cards are more than just a summary of grades—they’re a reflection of your school’s identity, values, and commitment to clear communication with parents and guardians. Enter WebTESS, the robust web-based Student Information System (SIS) from Harts Systems Ltd, designed to streamline school administration while offering powerful tools for customization. With WebTESS, educators and administrators can transform standard report cards into visually engaging documents featuring your school’s logo, custom graphics, and designer borders, all without needing advanced design software.

Whether you’re managing a K-12 public school, private institution, or international academy, WebTESS’s modular design makes it easy to tailor reports to your exact needs. In this blog post, we’ll walk you through the step-by-step process of creating custom report cards that not only convey academic progress but also reinforce your school’s brand. Let’s dive in!

What is WebTESS and Why Customize Report Cards?

WebTESS is a comprehensive SIS that handles everything from student enrollment and attendance to grading and parent portals. One of its standout features is the built-in reporting module, which supports customizable report cards and transcripts. By incorporating your school’s logo, graphics (like icons for achievements or motivational elements), and designer borders, you can make these documents more professional and memorable.

Customization benefits include:

Branding Consistency: Embed your logo to build trust and familiarity.

Visual Appeal: Add graphics and borders to make reports less intimidating and more engaging for families.

Efficiency: Generate reports in bulk, with personalized touches, saving hours of manual design work.

Step 1: Accessing the Report Card Customization Tools

Log In to WebTESS: Open your web browser and navigate to your school’s WebTESS login page. Enter your credentials to access the admin dashboard.

Navigate to the Reporting Module: From the main menu, select Grades> Setup > Setup Report Cards. This opens the Report Card Designer interface, a user-friendly tool for building and editing templates.

Step 2: Adding Your School Logo

Your school’s logo is the cornerstone of branding—let’s make it prominent.

Prepare Your Logo File: Ensure your logo is in a high-resolution format like PNG (with transparent background) or JPEG. Aim for 300 DPI to avoid pixelation when printing.

Upload the Logo: In WebTess, go to Utilities, Upload images and Student photos. Choose “Other images” and click Choose Files to upload your logo files.

After the images are uploaded, return to Grades > Setup > Setup Report cards, click the Graphics tab. Select your logo from the drop-down list and position in the top-left, top-right, or bottom-right.

WebTESS automatically scales images for digital or print output, ensuring crisp results across devices.

Step 3: Incorporating Graphics for Engagement

Access Border Options: In the Border tab, select a border style from the drop-down list.

Choose Styles: WebTESS offers preset borders—simple lines, ornate patterns, or even custom uploads (e.g., a wavy vine border for an eco-focused school). Select thickness, color (match your brand palette), and style (solid, dashed, or decorative).

When you select the border, it will be displayed in the Preview window. You can adjust the size of the border to fit your style.

Wrapping Up: Make Every Report Card a Masterpiece

With WebTESS, creating custom report cards isn’t just possible—it’s straightforward and empowering. By weaving in your school logo, thoughtful graphics, and elegant borders, you’re not only communicating grades but also celebrating your community’s spirit. This level of personalization can boost parent engagement and student pride, turning a routine task into a meaningful tradition.

How WebTESS Scheduling Transforms School Planning into a Seamless Process

Creating a school schedule is like solving a massive puzzle—balancing teacher availability, room constraints, student course requests, and countless “what-ifs” while ensuring everything runs smoothly. For administrators, it’s often a months-long ordeal filled with spreadsheets, manual tweaks, and inevitable conflicts. But with WebTESS Scheduling from Harts Systems Ltd., this complex task becomes efficient, automated, and error-free. As part of the robust WebTESS Student Information System (SIS), the Scheduling module—powered by tools like WebSched and SchedExpert—guides schools through building master schedules, assigning students to classes, and optimizing for peak performance.

Whether you’re at a bustling public high school or a specialized international academy, WebTESS Scheduling integrates seamlessly with enrollment, grades, and staff data to deliver results that save time and reduce stress. Let’s break down how it works, step by step, to create schedules that truly serve your community.

Building the Master Schedule: From Chaos to Cohesion in Minutes

The foundation of any successful school year is a solid master schedule—one that aligns courses, teachers, and resources without overlaps or gaps. WebTESS Scheduling excels here with its intuitive, web-based interface that eliminates the need for disjointed tools or endless revisions.Key Features for Effortless Master Schedule Creation:

Automated Generation with SchedExpert: Input your school’s parameters—course offerings, teacher loads, room capacities, and bell times—and SchedExpert’s advanced algorithms build a tentative master schedule in minutes. It intelligently resolves conflicts, such as double-booking rooms or overloading staff, using optimization techniques that prioritize equity and efficiency. harts.ca

Flexible Data Import and Analysis: Pull in real-time data from WebTESS’s core modules, like staff certifications and historical enrollment trends. The system analyzes this to suggest improvements, such as balancing elective distributions or accommodating special needs, reducing manual errors by up to 90%.

Iterative Refinement: Not satisfied with the first draft? Tweak variables (e.g., add a new elective or adjust periods) and rebuild instantly. WebSched’s “what-if” simulations let you test scenarios, ensuring your master schedule is resilient to changes like staff turnover or enrollment spikes.

Schools using SchedFast, a companion tool for simpler setups, report generating complete master schedules in under an hour—simply define courses and teacher assignments, and it auto-generates optimized timetables complete with print-ready class lists and availability reports. harts.ca This isn’t just faster; it’s smarter, turning weeks of work into a collaborative, data-driven process.

Scheduling Students into Classes: Precision Placement for Every Learner

Once the master framework is set, the real magic happens: slotting students into their ideal classes. WebTESS Scheduling handles this with precision, respecting prerequisites, preferences, and capacities to create balanced, personalized timetables.

How It Streamlines Student Assignments:

Request-Driven Matching: Students submit course requests via the secure WebTESS portal. The system automatically assigns them to sections based on availability, grade level, and conflicts—flagging issues like timetable clashes for quick admin review. harts.ca

Holistic Optimization: Integrate with graduation trackers and IEPs to ensure placements support long-term goals. For instance, it prioritizes core credits for at-risk students or balances class sizes across genders and skill levels, promoting inclusive learning environments.

Bulk and Individual Edits: Handle mass assignments for incoming freshmen, then fine-tune for transfers or electives. Videos in WebTESS’s resource library demonstrate editing student schedules in seconds, with changes syncing instantly to class rosters and parent views. harts.ca

How WebTESS Makes Attendance and Marks Collection a Breeze for Teachers

In today’s fast-paced educational landscape, teachers are juggling lesson plans, student engagement, and a mountain of administrative tasks. Among the most time-consuming? Tracking attendance and entering marks. Enter WebTESS, the web-based Student Information System (SIS) from Harts Systems Ltd. Designed with educators in mind, WebTESS transforms these routine chores into quick, intuitive processes that save hours and reduce errors.
